1 The Adler Planetarium is seeking an Executive Assistant and Project Manager to support the Director of Exhibits and Programs and the Director of Grant and Project Management, as well as other department members. This position must be able to manage and prioritize a range of tasks and projects in a timely manner and must be able to work independently with little or no supervision.

Duties and Responsibilities:

* receive, document and track all documents through the project proposal process;
* coordinate and arrange meetings, including complex executive-level meetings, prepare and distribute agendas, and record and transcribe minutes of meetings;
* screen incoming calls and correspondence and respond independently when appropriate;
* perform office management duties, i.e. copy, fax, sort and distribute mail, maintain supplies inventory, manage the purchase orders, and process invoices and expense reports;
* track departmental staff hours and timesheets;
* arrange and coordinate travel schedules and reservations;
* organize and maintain files and other records.

Education and Experience:

* a Bachelor’s degree with experience in project management;
* two to four years of experience as an Administrative Assistant and a project manager in

positions of increasing responsibility;
- proven ability to make well-reasoned independent decisions when circumstances dictate;
- proficiency with Macintosh computers, Microsoft Word, Microsoft Project, Excel; PowerPoint and Quicken is required.

2 The Adler Planetarium, Chicago, IL is seeking a Membership Coordinator to work closely with the Manager of Membership and Annual Fund, the Database and Membership Coordinator, and a variety of external constituents, to increase revenue and meet the customer service needs of our growing membership. This position will manage the membership program through professional solicitations, service and member recognition. This position reports to the Manager of Membership and Annual Fund.

Duties and Responsibilities:

* oversee fulfillment activities for membership program, i.e. mailings, renewal letters, member cards, welcome packets, and receipts;
* manage programs and benefits that support the museum’s membership community;
* work with other departments to implement membership opportunities within existing programs and events;
* manage Adler Members’ Hotline and email traffic on a daily basis
* respond to member inquiries via telephone, mail and on-site as needed;
* track and analyze key metrics of membership program strength—participants, revenue, expenses, member satisfaction, and cost-benefit analyses;
* supervise membership volunteers, support the department events and other activities as needed.

Education and Experience:
* a Bachelor’s Degree;
* strong communication abilities are necessary to interface with members;
* one to two years museum or customer service experience is preferred;
* familiarity with Raiser’s Edge donor database software is preferred;
* demonstrated writing ability in direct mail marketing is preferred.
